ZipVisa, Inc. ("ZipVisa," "we," "us," or "our") is committed to protecting the privacy and confidentiality of your personal data. This Privacy Policy explains how we collect, use, share, and safeguard information provided through Zipmi's DS-160 preparation tool (the "Platform"), a self-service product that helps individual applicants organize and enter their own information for a U.S. Department of State DS-160 nonimmigrant visa application.
Zipmi and ZipVisa, Inc. are not affiliated with, endorsed by, or acting on behalf of the U.S. Department of State, the U.S. government, or any other government agency. The official DS-160 form is available free of charge directly from the U.S. Department of State at ceac.state.gov.
The Platform is intended for use by:
- Individual visa applicants preparing their own DS-160 application ("Applicants" or "you"); and
- A parent or legal guardian entering information and completing the DS-160 process on behalf of a minor child or a person for whom they hold legal authority to act ("Authorized Representatives").
Where this Policy refers to "you," it includes both Applicants acting for themselves and Authorized Representatives acting on behalf of another person. ZipVisa does not offer accounts or access for employers, agents, recruiters, petitioners, or any party other than the Applicant or their Authorized Representative.
1. Information We Collect
We collect the information you choose to enter into the Platform in order to populate a DS-160 form, which may include:
- Identification Information: Full name, other names used, passport and national ID details, photograph, date and place of birth, nationality, Social Security Number (if applicable), gender, marital status.
- Travel and Visa Information: Purpose of trip, intended travel dates, U.S. point of contact, prior U.S. travel and visa history, prior visa refusals or cancellations.
- Family, Education, and Work History: Information about spouse, parents, children, employment history, education history, and other biographical details requested by the DS-160 form.
- Security and Background Information: Responses to the security, background, and eligibility questions required by the DS-160 form.
- Minor/Representative Information (if applicable): If you are completing an application on behalf of a minor or other person, we also collect your own identity information and your relationship to that person, to document your authority to act on their behalf.
- Device and Usage Data: IP address, browser type, operating system, and activity logs related to your use of the Platform.
We do not independently verify, investigate, or supplement any of this information. Everything the Platform generates is a direct reflection of what you typed in.
2. How We Use Your Information
We use the information you provide to:
- Populate and display a DS-160 form for your review, based solely on the data you enter.
- Let you review, edit, and correct your own entries prior to submission.
- Transmit the completed form to the U.S. Department of State's systems only when you affirmatively choose to submit it.
- Provide customer support and maintain and improve the Platform.
- Comply with applicable law and respond to lawful requests from government authorities.
We do not use your information to make any determination, recommendation, or edit about your visa eligibility, and we do not alter, correct, or add to the substantive content of your answers. Any spelling, formatting, or field-matching assistance the Platform provides operates only on the values you supply and does not change their substantive meaning.
3. How Submission Works
When you click "Sign and Submit Application" (or a similarly labeled control), you are electronically signing and submitting your own DS-160 application to the U.S. Department of State, using the information you entered and reviewed. ZipVisa's role is limited to formatting and transmitting the data you provided, at your direction and by your action. ZipVisa does not review your application for accuracy or completeness before you submit it, does not decide what is submitted, and does not submit on your behalf as an independent actor.
4. Sharing of Personal Information
We may share your information with:
- The U.S. Department of State and other U.S. government entities, solely as necessary to transmit your DS-160 submission and respond to related government inquiries.
- Service providers who host, secure, or support the Platform (e.g., cloud hosting, customer support tooling), under contractual obligations to protect your data and use it only to provide services to us.
- Legal or regulatory authorities where required to comply with law, respond to legal process, or protect the rights, safety, or property of ZipVisa, our users, or the public.
- With your explicit direction or consent.
We do not sell your personal information, and we do not share it with employers, staffing agents, or any third party for marketing or job-matching purposes — the Platform does not perform job matching or employer coordination.
5. Cookies and Tracking
ZipVisa uses cookies and similar technologies on the Platform to remember preferences, analyze usage, and maintain performance and security. Where offered, you can Accept or Decline non-essential (analytics) cookies via the on-site cookie preference banner. You can also manage cookies through your browser settings. ZipVisa may not respond to "Do Not Track" signals.
6. Your Rights and Choices
You may:
- Access, review, and correct the information in your account at any time before submission.
- Request deletion of your account data, subject to legal retention requirements (see Section 8).
- Opt out of non-essential communications by emailing info@zipmi.ai.
Please note that once a DS-160 has been submitted to the Department of State, ZipVisa cannot alter, retract, or unsubmit it — that is a limitation of the DS-160 system itself, not of the Platform.
7. International Users
Our services are hosted in the United States. By using the Platform, you consent to the transfer and processing of your data in the U.S., including from other jurisdictions with differing data protection laws. Standard contractual clauses may apply where required by applicable law.
8. Data Retention and Security
We retain your information for as long as necessary to provide the Platform's services or as required by law, and generally no longer than [XX months] after your last active use, unless a longer period is required for legal, tax, or dispute-resolution purposes. Upon account deletion, we delete or de-identify your personal data unless we are legally required to retain it. We implement industry-standard technical and organizational safeguards to protect your data, including encryption of sensitive fields such as passport and identification numbers, but no system can guarantee absolute security.
9. Use of Third-Party Services
We use third-party vendors to facilitate hosting, communications, and analytics. These providers are contractually required to handle your data consistent with this Policy. If you make a payment through a third-party payment processor, that provider's own privacy terms will also apply to that transaction.
10. Minors and Applications Filed on Someone's Behalf
The Platform itself is intended for use by individuals 18 years of age or older who are creating and managing an account. A minor's DS-160 information may be entered and managed only by a parent or legal guardian using their own account as an Authorized Representative — minors do not themselves create accounts or directly access the Platform. If you are entering information on behalf of a minor or another person, you represent that you have the legal authority to do so and that you are responsible for the accuracy of the information you submit for them, in the same way you are responsible for your own information.
If we learn that a minor has created or is independently operating an account in violation of this section, we will delete the account and associated data.
11. Business Transfers
If ZipVisa is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction. We will notify you of any such change in control affecting your data.
12. Changes to This Policy
We may update this Privacy Policy periodically. If we make material changes, we will notify you via the Platform or by email before the changes take effect.
